What is a Gift Membership

A gift membership is a club membership that is paid for by one customer and gifted to another customer. The recipient, or giftee, customer will be the person holding the club membership and its associated benefits. The customer paying for the order, or gifter, pays for the membership and all associated orders. So only the recipient contact is the club member.

The gift giver (gifter) can sign up for a gift membership right on your website. The only required information that the gifter will need to provide about the recipient (giftee) is the person's name and email address. This will trigger a gift membership acceptance email to the giftee which will allow them to login or create a new account on the website so that they can select their shipping options for the club membership and make any user choice selections (if applicable). 

After the giftee accepts the membership and completes their portion of signup, the membership will activate and both the gifter and the giftee customers will have a record of the membership attached to their account. You will be able to edit billing information via the gifter's account and shipping preferences via the giftee's account. 

When it comes to emails, both the contacts (gifter and giftee) will receive emails related to the processing, refunding, or cancellation of club orders. Only the giftee will receive emails related to the shipping and tracking of the order, as they are the ones receiving the order. Both will have accounts on file so both will be available to reach using email.

Gift Membership Website Signup

Visitors to your website will be able to choose to purchase a gift membership for someone else using the same club signup form that they use today. When filling out the club signup form for the club that they wish to gift, they will check the Is Gift box which will allow the gifter to enter the name and email address, and optional phone number, of the gift recipient. They will not have to fill out any address information for the giftee. 

After completing the form the giver will receive an email receipt of the membership signup. At the same time, the recipient will be sent an email letting them know that the have been gifted a club membership. This email will contain a link button that will take them to the website to complete the signup process.

Arriving on the login screen the giftee will be required to create a new account or login with an existing account that they hold. 

After successfully creating an account or logging in, the customer will be redirected to the club acceptance page where they will select their shipping information (or pickup if applicable) and make any user choice wine selections, if it is a user choice club.

The Gifter will receive a short email letting them know that the membership they gave has been accepted. The giftee will receive the club signup confirmation email with the shipping information and selections that they made online.

Both contact records will exist in your contact database, with the giftee contact as your new club member.

Gift Membership Admin Panel Signup

The steps for signing up a gift membership through the admin panel is similar to the steps that a customer would follow online. 

1. Go to Contacts and search for or add the billing contact to your contacts database.

2. Open the billing contacts record and go to Manage Club Memberships. 

3. Click Add a Membership.

4. Select the club that the customer wants to gift and set Is A Gift to Yes. 

5. Click Connect to Contact, and from the pop up and choose either a New Contact (if the customer does not exist in your contact database) or Exisiting Contact to search for an existing contact. 

When adding an Existing Contact use the seach parameters to find the contact record of the recipient already located in your contact database.

When selecting New Contact you will be required to enter the First and Last Name for the gift recipient as well as their Email address. Click Save.

6. *Optional* - Enter a gift message that will appear to the gift recipient in their acceptance email and on future club orders. 

7. Enter the Credit Card for the billing customer (gifter) under Payment Options

8. Click Save

After completing the signup process through the admin panel, the same notification emails that are triggered during a website signup will be triggered in the admin panel. The gifter will receive a notice that they have had a gift membership added to their account, as receipt of the transaction. The recipient, or giftee, will receive a gift membership acceptance email which will allow them to login or create a new account on the website so that they can select their shipping options for the club membership and make any user choice selections (if applicable).

Managing a Gift Membership

Gift club memberships will be managed on both the bill contact (gifter) and recipient (giftee) contact's accounts. You will be able to jump between either account right from the membership, managing the billing information on the gifter and the shipping and user choice selections on the giftee. 

Pending Memberships

Before a membership is accepted by the membership recipient, giftee, the membership will be attached the the giver's account with a status of Pending. A pending membership will not be included in club processing and will be excluded for all reports except the Club Signups report. 

The Club Signups report can be filtered for pending gift memberships. The CSV export will list the contact information for the gifter, as the membership is still on their account, and the name and email address of the giftee contact.

Memberships should ideally not remain in a pending status. The Club Signups report can be run to find memberships that are in a pending state. It would be best to look up the membership on the on the gifters account and resend the giftee acceptance email.

1. Go to Contacts.

2. Look up the Billing Contact for the memebership, open their account, and open the mebership up under Manage Club Memberships.

3. Click Edit under the Club Membership section and click on the Recipient name.

4. From the popup menu, you will be able to view and verify the name and email address for the gift membership recipient. If the email address is incorrect you can edit it so that the gift membership acceptance email can be sent to the correct email. Clicking Save on the popup window will automatically check the Resend Gift Acceptance Email box.

5. Click the Save action on the Club Options section to re-send the gift acceptance to the gift receipient.

After the giftee accepts the membership and completes their portion of signup, the membership will activate and both the gifter and the giftee customers will have a record of the membership attached to their account. You will be able to edit billing information via the gifter's account and shipping preferences via the giftee's account.

Billing Contact - Gifter

On the gift giver's account you will be able to see all of the club information, but will only be able to edit payment related information. This will allow you to make and additional adjustments to the billing customer's account as need.

The membership recipient, or giftee, is just a click away by clicking name or magnifying glass icon next to Recipient.

Recipent Contact - Giftee

On the gift recipient's account you will be able to see all of the club information, but will only be able to edit shipping information and user choice selections. This will allow you to make and additional adjustments to the shipping customer's account as need.

The membership bill contact, or gifter, is just a click away by clicking name or magnifying glass icon next to Gifted By.

The recipient, or giftee, will be the club member and will receive all the benefits included in the club. The giver of the membership is just the billing contact connected to the membership.

Can I import gift memberships?

No. At this time you cannot import gift memberships into Vin65. If you have the gift memberships tools enabled and try to import a club membership that is a gift membership you will receive the following message and the membership will not be imported: 

"Gift membership imports are currently disabled. Please ensure that the cells under IsGift and GiftMessage are left blank."

Only gift memberships will be prevented from being imported. Non-gift memberships can still be uploaded, and the importer will work to import non-gift memberships listing the lines that gift memberships are on in your import sheet.

Can I change a membership to a gift membership or back again?

No. A membership cannot be changed from or to a gift membership once it has been created. The is gift option will be grey in the membership and cannot be altered. A new membership will have to be created to change from a gift to non-gift or vice versa.

Can I change the recipient contact on a gift membership to a new person?

No. Once a gift recipient has been attached to the membership and the membership has been saved, the recipient cannot be changed. The membership will have to be canceled and a new membership for the new gift recipient must be placed.

Who receives order confirmation emails?

Both the billing contact (gifter) and the recipient contact (giftee) will receive order confirmation, order cancellation, or order refund emails.

The gifter's email will contain both billing and shipping information if the //OrderBlob// or //ClubBlob// is used in the email document.

The giftee's email will only contain shipping information (no billing information) if the //OrderBlob// or //ClubBlob// is used in the email document.

Who receives order shipping/tracking emails?

As the recipient of the order, only the membership recipient (giftee) will receive emails related to shipping and tracking.

Additional tracking emails are part of the order tracking tools found in Vin65 Plus.

Who receives declined order emails sent from club processing

Emails sent from the club processing section using the "Declined (May Include Expires)" or "Expired" filters will go to the email address on file for the billing contact (gifter). The giftee will not receive communication regarding declined cards if these filters are used.
